My name is Aaron Keith, and I will be leading the conversation around this this topic.
First off, I want to welcome you and thank you being a part of the Buildify family. I know you have a very busy life and I really appreciate your interest in learning and growing as a business owner & entrepreneur!
Before we get into the content of this specific blog topic, I would like to explain why I created Buildify & The Buildify Method.
I created Buildify because this allows me to do what I love to do, which is teach business owners how to better own and operate a successful business. In each blog we will do a deep dive into very specific topics and distinctions that make up The Buildify Method.
I also created these blogs because I feel it’s very important for business owners to make time to learn tangible skills that they can take back to their companies the very next day!
I believe it’s very important for business owners to be constantly looking for ways to better own and operate their business. And I designed each of these blog topics to do just that.
And those are the reasons why I created Buildify and all the resources under its umbrella! …with that in mind, let’s get to work!
The topic of this specific blog is on… “Key Business Systems for a Successful Real Estate Agent”.
The intention that we are out to fulfill on in this blog discussion is…“How key business systems increase your effectiveness as a real estate agent”.
This is a huge subject so we wont get through everything there is to talk about here in this one blog.
What is a System?
A System is a documented process or procedure that all members of the business have been trained in.
How do you know when a particular System needs to be created in your business?
How you know because there is either 1) a breakdown in the business, or 2) there is a lack of consistency.
The next thing we are going to do is talk through some of the most important Systems a real estate agent needs in their real estate business needs to have in place.
First System is an Operations Manual.
What is an Operations Manual?
Do you have a completed Operations Manual in your real estate business?
Why have an Operations Manual?
Lets discuss a few key points about why have an Operations Manual.
- Its your vision expressed in writing.
- It allows different areas of a business to run smooth, consistently over time.
- Holds people accountable to do things the way you envisioned them being done each time.
- When you have staff turnover it acts as a training tool and gives team members a place to turn when they have a question vs. always asking you.
No matter how big or small your real estate business or real estate team is, you need to have a manual!
Next System is your Marketing Plan.
Do you have a written Marketing Plan?
Here are some key points that apply to your Marketing Plan:
- Mindset: The marketing plan holds you accountable to the volume of action you should be taking vs. doing what you feel like doing.
- If you want consistent lead flow…then you need to take consistent actions over time!
- Your marketing plan is a years’ worth of Marketing broken down by Month.
- On your marketing plan you can put the initals of the person responsible for taking a specific action. Assigning marketing actions by team member works great.
- Schedule a reoccurring marketing meeting; its the accountability of this System.
- You want to have reoccurring Marketing and Lead Generation time scheduled in your calendar.
Next System is a Key Performance Indicator Dashboard or KPI Dashboard.
What is a KPI – Dashboard?
Here are a couple key points about KPI Dashboards:
- Mindset: a dashboard keeps you present to your numbers and how well you are doing at hitting the targets of those numbers. Knowing how well you are doing causes motivation!
- If you want to be more effective in your business, you need to track your stats to understand what is working / not-working in your business.
- Your numbers are the vital signs of your business.
- If it matters to you, you should track it on your KPI Dashboard.
- Your KPI Dashboard allows you to be a CEO and run your business by the numbers vs. emotion. And you must know your numbers!
Next System is a Budget.
Do you have a functional Business Budget?
If you answered “Yes” …then ask yourself honestly… do you actually Follow your Budget?
Lets discuss a few key points about functional Business Budgets:
- At Buildify, when we are teaching The Buildify Method we have a distinction around functional budgets. We believe that a Budget is a physical existence system that represents all the things that matter to you.
- Remember, your budgeting system reminds you of your “Why” and what motivates you!
- Some coaching to you… get yourself a bookkeeper, as most people won’t do their own finances consistently.
- Make sure you have finance time scheduled and reoccurred in your calendar!
Next System is your Business Day.
Do you have time in your schedule dedicated to working on your Business?
Lets discuss a few key points about your Business Day:
- If you want a thriving business…you need to work on it not just in it! Anything that works really well takes work…relationships, your body, etc.
- If you want to get better at owning & operating your business… then you need to work on your business and not just in your business.
- All your weekly meetings with your team & staff should happen on this day.
- Things that you should be doing during your Business Day are things like… strategy & planning time, meetings, finance time, marketing, etc.
Next System is your Annual Sales Goal.
Have you set your Annual Sales Goals for the year?

Lets discuss a few key points about your Sales Goal:
- You want to cultivate a strong relationship to your sales goal. It needs to live for you that over your fucking dead body will I not hit my goal.
- You must confront your numbers. The frustration of not hitting your targets will create a drive in you.
- Break down your Sales Goal by Units, Appointments, Leads. Then post those numbers up on your wall so they are in your face!
- These stats must be on your Dashboard. Must review them weekly.
In summary…
Systems don’t just make your business run smoother and more consistent… they also impact your mindset as a business owner.
They keep you present to reality, hold you accountable and motivate you!
